1. The parties and the subject matter

The organizer of the Bucharest Card Show event, and the contracting party that collects the price of the tables, the stands, and the packages and issues the invoices, is PNT ENTERPRISE SRL, hereinafter "the Organizer", CUI 55275289, registered with the Trade Registry under J2026045848003, with its registered office at Str. Covasna 41, Bl. F19, Sc. 3, Et. 4, Ap. 30, postal code 041676, telephone 0767 018 307, email contact@bucharestcardshow.ro. This regulation governs the rental of an exhibitor table, the rental of a t-shirt stand, and the purchase of a company package at the edition of 11 October 2026, held at NORD Events Center by Globalworth - Summit Hall, Bulevardul Dimitrie Pompeiu 4-6, Sector 2, Bucharest. Where this regulation speaks of the exhibitor, it refers equally to the holder of a table, of a t-shirt stand, or of a package, unless provided otherwise. Acceptance of the regulation is a condition of the reservation. The accepted version is recorded at the time of the order, together with a fingerprint of its content, and remains applicable to that order even if the regulation is amended later.

2. Who may be an exhibitor

Tables, stands, and packages are addressed to card traders, specialist shops, sellers of t-shirts and sports apparel, collectors, and partners relevant to the community. The exhibitor profile is completed after payment is confirmed, under the conditions of section 13. The Organizer verifies the information provided and may cancel participation as an exhibitor if the proposed activity does not match the profile of the event, or if the profile shows an intention to exhibit or sell products prohibited by this regulation. The decision is communicated in writing, with reasons. The selection of exhibitors is at the Organizer's discretion. In that case, the Organizer refunds in full the price of the tables, the stands, the packages, and the display cases relating to the cancelled participation. Visitor tickets bought in the same order remain valid and are not cancelled or refunded merely as a result of the cancellation of participation as an exhibitor.

3. What a table includes

A rented table includes: - a display surface of 180 × 70 cm; - two event passes. The passes are nominal where the holder's name is communicated by the exhibitor in the profile form, and are non-transferable once issued. A pass for which no name has been communicated by the deadline set out in section 13 is issued in the name of the stand and is used by the exhibitor's team. The following are not included and remain the exhibitor's responsibility: additional furniture, own lighting, presentation materials, and the packing and transport of the goods. Electricity is supplied on request, within the limits of what the venue allows. The request is made through the profile questionnaire completed after payment, not on the day of the event. Supply is not guaranteed for every table.

4. Display cases

Display cases are made available by the organizer, on a rental basis, for the duration of the event, within the limit of the available stock, and may be reserved only together with the table or with a package, not afterwards. Each display case has a capacity of at least 40 cards, and the maximum is two display cases for each table in the order. The exhibitor receives the display cases when the hall opens and returns them at the end, in the condition in which they were received. The handover and the return are recorded in a report signed by both parties, accompanied by photographs of the display case at collection and at return; the report and the photographs constitute proof of the condition of the display case. The contents of the display case remain the exclusive responsibility of the exhibitor; the organizer does not insure and is not liable for the goods exhibited. Damage caused by improper use is borne by the exhibitor. If a display case cannot be made available for reasons attributable to the organizer, the rental price is refunded.

5. The t-shirt stand

The t-shirt stand is a display space of 2.40 × 2.00 m, intended for the sale of t-shirts and apparel from the exhibitor's own racks. A rented stand includes: - the 2.40 × 2.00 m space marked in the hall; - a chair; - two event passes, under the conditions of section 3; - at the exhibitor's choice, expressed in the profile form completed after payment: a table of 120 × 60 cm, a table of 180 × 70 cm, or no table. The racks and the rest of the presentation furniture belong to the exhibitor. The interior arrangement of the stand is free, provided that the display, the furniture, and the goods remain within the limits of the allocated space; section 11 applies accordingly. The t-shirt stand may be rented by natural persons as well as by legal entities. The stands are limited in number. A stand cannot be bought in the same order as exhibitor tables; the two are reserved through separate orders.

6. The company packages

The packages are fixed-price offers, intended exclusively for legal entities, which include tables, passes, and, as the case may be, display cases, together with the presentation and promotion services described in the package presentation on the reservation page on the date of the order. The name of the chosen package is saved on the order. The tables, the display cases, and the passes included in a package follow the rules of sections 3 and 4. The presentation and promotion services are supplied under the conditions of section 13; the presentation on the public floor plan of the hall, with the company's name and logo, is conditional on the completion of the profile and on payment in full. In the same order as a package, the following may be added at the standard prices in force on the date of the order: additional display cases, additional tables for the packages for which the reservation page allows it, and visitor tickets. The standard per-order limits apply to the whole order, including the package's units. The price of the package is fixed; discount codes do not apply to packages.

7. Price, payment, and invoicing

The applicable price is the one in force on the date of the order, displayed on the reservation page and saved on the order. As at the date of this version, the price of a table is 249.99 lei, the rental of a display case is 99.99 lei, the rental of a t-shirt stand is 399.99 lei, the Rookie Package is 499.99 lei, and the Legend Package is 999.99 lei. A price change published later does not affect an order already confirmed. The displayed prices are not increased by VAT or by other taxes. PNT ENTERPRISE SRL is not registered for VAT purposes. The Organizer may grant promotional discounts. Payment is made online, by card, through the NETOPIA Payments processor. The reservation is held for the duration of the payment initiation and expires automatically if the payment is not completed, releasing the table, the stand, the package, and the display cases for other buyers. Tables are bought directly from the website by natural persons only. Legal entities may buy directly from the website the company packages, which are reserved for them, as well as the t-shirt stand. For other collaborations, legal entities contact the organizer, and the terms are agreed individually, by separate agreement. The purchase of tables, stands, and packages and the completion of the profiles both close on 8 October 2026, at 23:59. After that date no further purchases can be made, including on the day of the event.

8. Cancellation, withdrawal, and refunds

8.1. Right of withdrawal. The rental of a table or of a stand and the purchase of a package are services supplied on a specific date, 11 October 2026. For such services, the law provides an exception to the 14-day right of withdrawal. By accepting this regulation before payment, the exhibitor is informed that they do not benefit from the 14-day right of withdrawal and that cancellation is governed by point 8.2. 8.2. Cancellation by the exhibitor. The exhibitor may give up the table, the stand, or the package, by email to the contact address, with a refund of: - the full amount, if the request arrives at least 30 days before the event; - 50%, if it arrives between 30 and 14 days before; - nothing, if it arrives less than 14 days before. The rental of the display cases follows the same regime as the table or the package to which they were attached. A package is cancelled only in its entirety, together with the additional tables and display cases added in the same order. Visitor tickets bought in the same order are separate items, subject to the visitor return policy published on the website. They are not refunded as a result of the cancellation of the table, the stand, or the package and remain valid for access to the event. 8.3. Transfer of the place. The place may be transferred to another exhibitor only with the written agreement of the organizer, who may refuse if the new exhibitor does not match section 2. The request is sent by email to the contact address, by the exhibitor giving up the place, and includes the identification details of the new exhibitor. Requests are accepted until 1 October 2026, 23:59; after that date the place may no longer be transferred. The transfer may concern the entire reservation or only part of the tables included in it. The request states how many tables are transferred and how many of the reserved display cases accompany them, up to two display cases for each transferred table; the remaining display cases follow the tables that are kept. The original exhibitor remains the holder of the tables they keep, with the display cases and the passes relating to them. The t-shirt stand is transferred under the same conditions as a table. Packages are not transferred. The transfer is charged at 50 lei for each transferred table or stand and at 20 lei for each display case accompanying it. The fee becomes due upon the communication of the written agreement of the organizer, is invoiced to the new exhibitor, and is paid before the transfer is carried out. If the organizer refuses the transfer, the fee is not due. The place in the hall assigned to a transferred table or stand remains with it, under the conditions of point 13.4. Visitor tickets bought in the same order are not the subject of the transfer and remain those of the original buyer. The passes relating to the transferred tables or stands, issued in the name of the original exhibitor, are cancelled, and the new passes are issued in the names communicated by the new exhibitor in the profile form. The new exhibitor takes over the rights and the obligations provided for by this regulation for the transferred tables or stands and completes the profile within the deadline communicated by the organizer, which may not exceed the deadline at point 13.1. Apart from the transfer fee, no other amount is due to the organizer for the transferred tables or stands. The settlement of the price already paid, between the original exhibitor and the new exhibitor, concerns the parties alone; the organizer does not refund the amount collected and does not redirect it. 8.4. Cancellation by the organizer. If the event does not take place, the amount collected is refunded in full. If the event is rescheduled, the exhibitor may choose between keeping the place at the new date and a full refund. Keeping the place generates no additional cost, and the price remains the one originally paid. If the exhibitor keeps the place and subsequently withdraws, point 8.2 applies, with the deadlines calculated against the new date of the event. If the organizer cannot make available the table, the stand, a reserved display case, or a service included in a package, the corresponding part is refunded. 8.5. Cancellation of participation after verification of the profile. In the situation provided for in section 2, the Organizer refunds in full the price of the tables, the stands, the packages, and the display cases relating to the cancelled participation. Visitor tickets bought in the same order remain valid and do not form part of the refund. 8.6. Execution of the refunds. The refunds provided for in this section are made to the same payment instrument, within 14 days of the date of the written communication by which the Organizer accepts the cancellation, or of the date of the written communication by which the exhibitor expresses their choice in the case of rescheduling.

9. Access, set-up, and dismantling

Exhibitor access for set-up: 08:00. Opening to the public: 10:00. Closing to the public: 18:00. Dismantling: 18:00 - 19:00. The stand must be ready at least 30 minutes before the opening to the public and must remain staffed throughout the programme. Dismantling before the closing time is not permitted, because an empty stand during the programme affects the event and the neighbouring exhibitors. If the table or the stand is not occupied by 09:30, the Organizer may assign the place to another exhibitor, without refunding the price. Access with goods and unloading take place through the service entrance / main entrance, in accordance with the instructions received before the event. The goods and materials must be removed in full at the end of the programme. The organizer does not provide overnight storage and is not liable for goods left in the hall.

10. Permitted and prohibited products

The exhibitor is responsible for the provenance, the authenticity, and the lawfulness of the sale of all the products they exhibit or sell. It is prohibited to exhibit and to sell: - counterfeit products, reproductions presented as originals, as well as cards whose condition, grading, or case has been altered with the intention of misleading; - products originating from unlawful sources; - any goods whose sale is restricted or prohibited by law. The Organizer may require the immediate withdrawal from sale of a product about which there are well-founded suspicions, irrespective of the person exhibiting it and of the table or the stand at which it is located, and, in the event of refusal, may order the termination of participation, without refunding the price.

11. Conduct and relations with visitors

The exhibitor carries out their activity within the limits of the allocated space, without blocking the access routes and without using sound promotion that affects the neighbouring stands. Products are exhibited on the surface of the allocated table and, in the case of the t-shirt stand, within the limits of the stand's space, including on the exhibitor's own racks. Display on the floor outside these limits is not permitted, nor are structures or displays that exceed the allocated space, obstruct the aisles, or obstruct the visibility of the neighbouring stands. Breaks, raffles, and activities with an element of winning. Organizing box breaks, raffles, prize draws, public auctions, or any other activity with an element of random winning at the stand is prohibited without the prior written agreement of the organizer. Any activity that goes beyond selling and trading at the table is to be communicated to the organizer before the event. Transactions between the exhibitor and visitors are concluded exclusively between them. The organizer is not a party to those transactions, does not guarantee them, and does not intervene in their resolution, except for the application of this regulation on the premises. Sanctions. Upon finding a breach of sections 9 or 11, the Organizer requires the exhibitor to comply immediately. If the exhibitor refuses to comply, or if the breach is repeated, the Organizer may order the termination of participation, without refunding the price.

12. Liability

The organizer provides the space, the rented table or stand, and the general framework of the event. It does not provide individual security for the stands and is not liable for the loss, theft, or damage of the exhibitor's goods. The holder of the table or of the stand is responsible for the products exhibited at their table or stand and for the conduct of any person operating there. The exhibitor is liable for the damage they cause, through their own act or that of the persons they bring, to the venue, to the organizer, or to the other participants.

13. The exhibitor profile, the presentation, and image rights

13.1. Completion deadline. The profile is completed within 7 days of the confirmation of payment, but no later than 8 October 2026, at 23:59. 13.2. Consequence of missing the deadline. An exhibitor who does not complete the profile within the deadline does not benefit from a presentation on the Organizer's channels and does not have access to the exhibitors' communication channel. The Organizer has the right, at its choice, to refund the price and to assign the table or the stand to another exhibitor. 13.3. The presentation. The presentation of exhibitors on the Organizer's channels is made at the Organizer's choice, as complete profiles are received. It does not constitute a right of the exhibitor and has no guaranteed deadline. The presentation and promotion services included in a package are an exception: they are supplied after the profile is completed; they have no guaranteed deadline for a profile completed late. 13.4. The place in the hall. A neighbouring-placement preference expressed in the profile is a request, not a guarantee. The Organizer assigns the position in the hall and may change it up to the day of the event. 13.5. The choice of the t-shirt stand's table. The exhibitor with a t-shirt stand chooses in the profile the included table, under the conditions of section 5. The choice may be changed in the profile until the deadline at point 13.1; in the absence of a choice, the 120 × 60 cm table is provided. 13.6. Photography and filming of the event. The event is photographed and filmed. The Organizer may use the resulting images, including those capturing the stands and the persons present, for information and promotion, on its own channels and in the materials of the event, without a time limit and without pecuniary obligations. 13.7. The exhibitor's name and logo. By submitting the profile, the exhibitor grants the Organizer the non-exclusive, free-of-charge right, limited to the promotion of the event, to use the name of the stand, the trade name, and the logo uploaded, in the materials of the event and on the Organizer's channels. The exhibitor declares that they hold the rights over the materials uploaded. The right ceases upon the written request of the exhibitor, for future uses; for the promotion services included in a package, the right is necessary for their supply, and its cessation is equivalent to giving up the services not yet supplied, without a refund.

14. Personal data

The data collected at the reservation and in the profile form are processed in accordance with the Privacy Policy and the Data Protection Information Notice, published together on the website. The names communicated for the nominal passes are used exclusively for issuing and validating them. The retention periods are those indicated in the Data Protection Information Notice.

15. Force majeure

If the event cannot take place for reasons beyond the organizer's control (decisions of the authorities, unavailability of the venue, disasters, or other unforeseeable and insurmountable circumstances), the organizer may cancel or reschedule the event, without owing damages. In these situations the exhibitor retains the rights provided for at point 8.4: a full refund in the event of cancellation, or the choice between the new date and a refund in the event of rescheduling.

16. Complaints, alternative dispute resolution, and applicable law

For questions, requests, or complaints, the exhibitor may contact PNT ENTERPRISE SRL at contact@bucharestcardshow.ro, by telephone at 0767 018 307, or at the address of the registered office indicated in section 1. The Organizer will attempt to resolve the complaints received amicably. To the extent that the buyer has the capacity of a consumer, they may use the Alternative Dispute Resolution (ADR) mechanism of the National Authority for Consumer Protection, available at https://reclamatiisal.anpc.ro, without this possibility limiting their right to bring the matter before the competent courts. This regulation and the contracts concluded on its basis are governed by Romanian law. Any disputes that cannot be resolved amicably will be brought before the courts competent according to the law, without limiting the mandatory rights recognized to consumers.

17. Acceptance and version

The regulation is accepted before payment. The accepted version is saved on the order, together with a fingerprint of its content, so that the text applicable to an order can be proven later, independently of future amendments. Version 2 replaces version 1 for orders placed after its publication; orders that accepted version 1 remain governed by it. An amendment to the regulation is published as a new version and applies to reservations concluded after publication. The Organizer is responsible exclusively for the aspects relating to the organization and conduct of the event, within the limits of the duties and obligations assumed through this Regulation and through the applicable legislation. Any dispute, damage, or legal relationship arising between the venue, sponsors, partners, participants, exhibitors, visitors, or other third parties, which is not directly attributable to the Organizer, will be resolved between the parties involved, in accordance with the applicable legal provisions, the Organizer being exonerated from any liability in these situations.
